Lead scoring and routing
Each lead gets a score from rules the business sets and lands with the right person in seconds, so the best opportunities are worked first.
Leads are assigned round-robin or to whoever grabs them. A full replacement and a small repair get the same attention. Your best closer is chasing the wrong ones and the big one is sitting unclaimed.
- 01Trigger
Lead created or changed
A new lead arrives, or a field that matters to the score is updated.
- 02Qualify or process
Score by the rules
The written rules produce a score and a list of reasons on the record.
- 03System update
Assign and prioritize
Owner chosen by territory, specialty, and capacity; task priority and due time set.
- 04Customer communication
Faster first call
The customer is reached by the right person sooner; no automated message is part of this step.
- 05Human escalation
Claim or escalate
The rep claims the lead; unclaimed leads escalate to the manager on a timer.
- 06Measurement
Check the rules
Close rate by score band and by rep, time to claim, and escalations, monthly.
Best for
- Sales teams with more than one rep and more than one territory or specialty
- Businesses where lead value varies a lot by job type or source
- Owners who want to write down what a good lead is and have the system honor it
Trigger
A new lead is created, or a field that affects the score changes on an existing lead.
Inputs
- Lead fields: service requested, location, urgency, source, property type
- The scoring rules, written in plain language and agreed with the owner
- The team roster with territories, specialties, and availability
- Daily capacity caps per rep
Actions
- Compute the score from the rules and write it to the lead with the reasons visible
- Pick the owner by territory, specialty, and who has room today
- Set the task priority and due time from the score
- Notify the owner and post high-score leads to the team channel
- Escalate any lead not claimed within the set time to the sales manager
Outputs
- A scored lead with the reasons a rep can read
- An assignment that reflects territory and capacity, not who was fastest to click
- An escalation trail for leads nobody picked up
Human handoff
The score is a sort order, not a decision. The owner can reassign any lead. Unclaimed leads escalate to a person. The rules live in a document the office can change.
Exceptions
- A lead missing key fields gets a default score and a flag instead of a wrong score
- A rep marked out of office is skipped and the lead goes to the next in line
- Commercial and referral-partner leads route to a named owner regardless of score
- A high-score lead unclaimed past the threshold alerts the owner directly
Required access
- CRM admin access to add fields and build assignment automations
- The team roster with territories and specialties
- The owner's own definition of a good lead, written down
Important limitations
- The rules start from the owner's judgment, not from data, because most businesses do not have clean outcome data yet
- Scores drift as the business changes, so the rules are reviewed on a schedule
- No predictive model is used until enough closed outcomes exist to test one honestly
