Contract signature to onboarding
The moment a contract is signed, the client record, folder, kickoff tasks, and welcome message are prepared, so the first week runs the same every time.
A client signs and then waits. Somebody has to notice, create the folder, set up billing, and send the welcome email. It takes a few days and looks different every time depending on who did it.
- 01Trigger
Signature completed
The e-signature platform reports every required party has signed.
- 02Qualify or process
Check the contract
Custom terms, partial signatures, and existing clients are handled by rule.
- 03System update
Create the client
Deal marked won; record, folder, task list, and invoice draft created.
- 04Customer communication
Welcome, once approved
The client receives the welcome message after a person reviews and sends it.
- 05Human escalation
Owner approves
Welcome message and invoice are sent by a person; the task list is worked by the team.
- 06Measurement
Time to kickoff
Signature to first task done, signature to welcome sent, and steps missed, monthly.
Best for
- Firms and contractors whose onboarding depends on one person remembering the steps
- Businesses that sign several new clients a month and want each one to start the same way
- Owners who want the invoice and the welcome ready the day the ink dries
Trigger
The e-signature platform reports a completed signature on a contract or engagement letter.
Inputs
- The signed document and the fields captured in it
- The CRM record for the deal
- The onboarding checklist for that service type
- Who on the team owns each onboarding step
Actions
- Mark the deal won and create the client, job, or matter record
- Create the client folder and file the signed contract in it
- Create the onboarding task list with owners and due dates
- Draft the welcome message and the first invoice for a person to review
- Notify the team that a new client has started
Outputs
- A client record, folder, and task list created the same way every time
- A welcome message ready to send
- An invoice draft ready to approve
Human handoff
A person reviews and sends the welcome message and approves the invoice. Nothing bills and nothing reaches the client automatically beyond the signing platform's own signed-copy receipt.
Exceptions
- A contract with only one of two signatures waits and sends a reminder to the other signer
- A contract with custom terms is flagged for the owner before onboarding starts
- An existing client signing a new agreement updates their record instead of creating a second one
- Where payment is required before work starts, the invoice comes first and the task list waits
Required access
- The e-signature platform's webhook or API
- CRM and file storage access to create records and folders
- Accounting access to create invoice drafts
Important limitations
- The e-signature platform has to expose completion events; some do, some require a workaround
- The onboarding checklist has to exist in writing before it can be automated
- Trust accounting and retainers for law firms stay with the firm's process; the workflow drafts, it does not post
